Google Workspace Paid Subscriptions – Implications for Education

“No free lunch” has long been accepted wisdom. We all know that software you don’t have to pay for is never truly free. Companies will always find ways to make money, whether through up-sell or cross-sell, ad targeting or freemium strategies. So it’s almost refreshing when a software provider decides their product has value worth charging for. That’s what Google is doing with its popular Workspace suite.

Starting May 1 of this year, if you’re using the free G Suite legacy edition, your organization has until the end of June to switch to a Google Workspace subscription. This is not simply a name change. Google Workspace will now cost between $6 and $18 per user per month, depending on features and services.

Comparing cost, benefits, and capacity

Schools and universities that rely on G Suite as their collaboration and productivity platform will want to proactively consider the benefits and drawbacks of a Google Workspace subscription. Clearly, the folks at Google understand that one of the first things an educational institution might ask about is storage space.

In recognition of capacity needs for busy students, faculty, and researchers, Google has announced a storage model specifically for schools and universities. Subscribers to Google Workspace for Education will receive a baseline of 100TB of pooled storage shared across all users. To put that in perspective, that’s enough storage for more than 100 million documents, 8 million presentations, or 400,000 hours of video. Schools or universities with more than 20,000 active users can qualify for additional storage.

Choosing Google v. Microsoft

With the Google Workspace transition period looming, it makes sense to weigh the options for your organization’s collaboration and productivity software. Staying with Google will now come with a price tag, so some due diligence makes sense to make sure the solution you’re providing meets the needs of your budget and community.

Some educational institutions will find that Google’s announcement is the tipping point for making the move to Microsoft 365. Your decision analysis will need to take into account many factors, including total subscription cost, available capacity, and features, as well as the cost and timing of implementing a migration.

  • Options: Choose a Google Workspace subscription plan, or transition to Microsoft 365.
